The Institute for Health and Recovery is seeking a Program Assistant to work toward supporting our mission in developing a comprehensive continuum of care for women, adolescents, and their families who are affected by alcohol, tobacco, and other drug use, mental health problems, and violence/trauma.
This position is full-time and is based in Cambridge, MA.
Major Responsibilities:
- Provide support to programs that offer substance abuse services to families to promote the safety and well-being of children at risk of imminent removal from their parents’ custody (including regular travel to Western Massachusetts, 2-4 times per month);
- Conduct data entry, quality control, report preparation and submission for supported programs;
- Screen and prioritize phone calls and emails for the Executive Director as needed;
- Provide administrative assistance to the Executive and Assistant Director including scheduling meetings, electronic and paper filing, general typing, CV maintenance, creation of PowerPoint presentations, and coordination of travel arrangements;
- General support functions include: meeting preparation/minutes, proofreading, formatting, scheduling, etc;
- Provide occasional lunch time/meeting phone coverage for the agency’s incoming calls;
- Perform weekly searches for relevant grant opportunities; and
- Other general support as assigned by Executive, Assistant, and Operations Directors.
Qualifications/Requirements:
- Bachelor’s degree or equivalent experience;
- At least 2 years of professional office experience (non-profit experience preferred);
- Thorough knowledge of MS Office, especially in formatting and troubleshooting;
- Experience working with databases to enter and manipulate data;
- Superior attention to detail and organizational skills;
- Strong sense of responsibility and ownership of projects;
- High-energy; productive, proactive, and reliable; ability to multi-task;
- Ability to prioritize requests and resolve problems;
- Must possess polished, mature communication skills (written, verbal, phone manner, etc.); and
- Ability to work independently as well as part of a team, often under tight deadlines and in a fast-paced environment.
- Valid MA Driver’s License needed.
